How to Host a Company Holiday Party: Do's and Don'ts

Holiday party season will be here before we know it, which means it’s time to start planning your company holiday party. Read on to find out how to host a company party, with our My Big Day event planning experts’ list of dos and don’ts.

We’ve learned a thing or two after more than 16 years in the events industry. Here are our top 10 DOs for your company holiday party.
 
Find the right date
 
The holiday season means travel and a full social calendar for many people, so it’s important to plan early and get input on your event date. Choose several potential dates and poll employees to see which date will have the greatest attendance. Once you’ve chosen a date, book that venue – and we mean, like, yesterday.
 
Find the right location (not the office)
 
Since your company probably isn’t the only one throwing a holiday party this year, secure your location ASAP. Even if your office is big enough to host your party, your employees probably spend 40+ hours per week there. Why not switch it up with a fun venue downtown?
 
Be sure to consider proximity to the office (so the travel time will be similar to the time it takes your employees to get to work), parking space, venue capacity, and amenities like a kitchen, stage, or projector wall. And don’t forget restroom access!

​Consider food preferences
 
Don’t just buy the tray labeled “party food” at the grocery store. Consider your employees’ food preferences. Maybe you have a lot of vegetarians in the office, or sweet treat fanatics. A vote also comes in handy in this situation. Be sure to ask about any food allergies, particularly if that means you’ll need to keep certain foods out of the event space completely.
 
Hire an event planner
 
Feeling overwhelmed yet? We recommend hiring a local event planner who already knows where the venues are and what’s available. Event planners can create a timeline for your event, suggest caterers and entertainment, and make suggestions about how much food and alcohol to purchase. Let us do the heavy lifting – the holidays are busy enough.
 
Incorporate team building
 
Any time most of your team is in the same place is a great time to do some team-building. Your employees probably don’t want to spend their holiday party watching cheesy videos about teamwork, but there are plenty of creative alternatives. A Secret Santa or White Elephant gift exchange is a popular choice. Here are some others:

  • Company trivia with a festive prize for the winner

Consider an off-season party
 
Two of the major challenges of holiday party planning – guest attendance and securing a venue – can be offset by having a party just before or just after peak holiday season. Beat the crowd with an early November event, or bust the January blues with a post-New Year’s gathering. You’ll have more venue options and fewer scheduling conflicts.
 
Recognize your employees
 
A holiday party is a great time to show some employee appreciation after another hectic year. Present a slideshow of accomplishments as a company or present awards to each employee. Bonus: Incorporate team-building by asking colleagues to recommend awards for each other.

​Consider an alcohol limit
 
Alcohol is not uncommon at company parties, but if you’re serving it, consider having a cut-off of two or three drinks per guest. Nobody wants to drink too much, do something embarrassing in front of their colleagues, and then have to see them Monday morning. Having a drink limit allows guests to relax and enjoy themselves without taking things too far.
 
Give a gift
 
Gifts are a seasonally-appropriate way to show appreciation for your employees and engage in some team building. Gift exchanges are great for team bonding, and presenting employees with gifts during the holidays boosts morale throughout the year.
 
Plan entertainment


Your party entertainment may be built-in with planned activities like gift exchanges, rewards ceremonies, and other team-building exercises, but some holiday background music creates a fun ambience. Bluetooth speakers are budget-friendly, while a DJ or live musician is lively and memorable. If you don’t have any activities planned, consider making your holiday party an outing to a play or comedy performance.

MBD has been a long time supporter of Animal Friends Alliance in Northern Colorado. So of course, when Pamela and Lane Everitt reached out to see if we could assist them with a private fundraiser for their favorite charity, we said YES!

"Furry Tacos" is the fun name they came up with. Angry Hippie served up delicious tacos, On the Rocks served as our mobile bar with the help of our friends at Wilbur's Total Beverage. Primary Event Rentals brought in beautiful farm tables, sitting areas and high-top tables for our guests. And what event would be complete without furry animal face painting, a photo wall and games for all?!?!

There are many types of Christmas traditions out there, but none perhaps as steeped and as important as planning the PERFECT holiday office party! The perfect office party is just the right blend of structure and professionalism with just enough of a relaxed atmosphere where people can cut loose enough with some fun and slight indulgences. A time to celebrate a year of accomplishments!
 
We’ve helped many companies and businesses plan perfect celebrations with class and flair. And, it’s always great for our clients to know that they have an extra set of eyes and hands on site to help should things get out of hand - or slightly out of control.
 
How can things get out of control, you might ask? Well, anytime you mix good food, good drink, good music, and good fun – you run the risk of things getting out of control. Take these examples for instance:

If you’ve ever held a job, chances are, you’ve also had to deal with the annual work holiday party. As mentioned above, as event planners - we’ve planned a few! Let us just say - the characters in this movie probably could have used our help!

This movie follows an office holiday party that gets wildly out of hand as a branch manager uses the event to impress a potential client while trying to close a sale and save company jobs.

One major tip: Remember that this is still a business event.
While it is oky to relax and have fun when you’re at a workplace party, don’t loose sight of the fact that this event is still sponsored by your boss, and you should still remain professional.

The Office has great examples for what “not to do” on so many occasions. This compilation of their holiday parties is a gold mine! But, there is one rule that really sticks out in this…

Holiday Party Tip: Don’t drink too much!
If your employer is offering you a drink and you don’t mind - accept, but watch and limit  yourself!
If there is one place you cannot afford to lose your senses, it is at an event that is hosted by your boss and attended by your coworkers. You do not want to be the talk around the watercooler the next Monday!
Best advice - probably stick to a two drink maximum. This will allow you to enjoy yourself without having to pay for it later!

While some people may argue whether or not this is truly a Christmas movie (IT IS!) - one thing is certain, it definitely holds some holiday office party lessons to follow.
Holiday Party Tip: Don’t bring uninvited guests.
Your party hosts have been planning for a certain amount of guests. Most caterers and venues require a base payment per guest. It is not appropriate to add to your hosts’ expenses by bringing extra guests to the event.

 
Holiday Tip: Do introduce yourself to others at the company.
If you work at a larger company, make it a goal to talk with a certain number of people with whom you haven’t spoken to or don’t know that well. Holiday parties can be great networking opportunities.

​Holiday Tip: Do arrive and depart on time.
Arriving fashionably late is not appropriate in a corporate setting. You also do not want to be the last one to leave either. Make sure that you are following the time that is listed on the event invitation.

Being in the event planning industry for 15 years, we have experienced ups and downs -- arguably more ups than downs! We have had the pleasure of creating and executing some awesome events, and undoubtedly awesome experiences and memories.
 
Along the way, we have often had to educate our clients and the larger community on what it exactly is that we do. There are many myths out there regarding what it is we -- professional event planners -- do.

Wedding planning is a major part of event planning -- arguably an industry in and of itself. Weddings garner a lot of attention in this industry because of the romance, excitement, and drama that can surround this type of event. There are event planners that focus entirely on weddings. These planners are wedding planners.

Planning your own wedding can certainly be stressful and of course, rewarding, but planning with someone else’s dreams and expectations at the forefront is something on an entirely different level. ​Event Planning is Glamorous

Hollywood tends to spin this myth. Movies such as 'The Wedding Planner' and pop-culture shows about wedding planning can make it seem that everything is luxurious and glamorous. In reality, event planning involves:
  • Behind the scenes phone calls and emails. Lots and lots of emails.
  • Event marketing and a lot of time in front of the computer managing websites and social media
  • Meetings
  • Spreadsheets
  • Permit applications
  • Bussing tables
  • Emptying garbage (one of our event planners had an entire garbage can full of empty beer bottles dropped on her during this lovely part of the job - sticky and smelly!)
  • Janitorial work
  • Storing bins and boxes all over your garage and basement
  • Miles and miles of travel on your vehicle
 
When you commit to becoming an event planner, you need to be prepared to be on your feet for hours upon hours. We have worn through many pairs of shoes, and oftentimes pack extra outfits and shoes as backup throughout the event.

Event planning means always having an emergency kit ready for use. It means managing not only the details of the event, but also people and personalities, too.

We’re seeing venues booking events for 2022’s holiday season, so the time to reserve your ideal venue is NOW.

YES! We started having to get creative months ago when venues started booking up. We are already 50% booked for weddings in 2022! We have called on venues that aren't venues for events Summer, Fall and Winter, asking to create an event space for clients.

Booking a venue is one of the first steps to planning any event, including holiday parties. Here is an example of a corporate holiday party planning timeline:
 
12 Weeks Out

  • Choose themes or colors
 
  • Choose a date and time – Research shows that lunch hour corporate holiday parties have the highest attendance. But evening parties are a great option, since they are longer and allow for more teambuilding and fun activities. Consider weekday evenings if cost is a concern; venues and entertainers often charge more for Friday and Saturday events.
 
  • Book venue and entertainment (DJs and bands book well in advance) – This is in a typical year. We recommend booking now for 2021.
 
  • Nail down a guest list
 
  • Book catering and bartending
 
  • Book photographer for a fun photo booth experience (optional)
 
8 Weeks Out

  • Send save-the-dates (optional) – Holidays are a time for travel. Sending save-the-dates will allow your guests to book tickets around your event, or let you know in advance that they can’t make it.
 
6 Weeks Out

  • Order any party supplies you’ll be purchasing online and/or that have a lead time – The pandemic supply chain is a doozy (just ask us!) Allow plenty of time to order products online, or for customized items like napkins that sport your business logo.
 
4 Weeks Out

  • Research and choose games or activities
 
  • Purchase indoor and outdoor decorations you can find locally

  • Recruit helpers if your event is going to be large (or book with MBD and consider us your holiday elves!)
 
  • Create a timeline for the event itself – Reserve windows of time for any structured activities like meals or games, and be sure to allow time for networking.
 
3 Weeks

  • If doing a Secret Santa, send out guidelines (price, size/type of gifts) to participants
 
  • Send out invitations
 
1 Week

  • Purchase last-minute supplies
 
  • Confirm contracts with vendors (caterer, rentals, entertainment, etc.)
 
  • Create a setup timeline for the day of the event – Venues allocate a certain amount of time for setup, which can vary greatly. Ensure you have access to your party space in time to set up before guests arrive. You may need a large team to set up a complex event within the venue-specified time frame (another great reason to hire us!)

Not ready for a virtual party but still want to show your employees you appreciate them this season? Check out these ideas for celebrating with them this year – no party needed.

1. High-end holiday gifts. Many employers are finding that the budget for hosting an in-person holiday party can easily cover very nice gifts for each of their employees. Trend forecasters have seen a surge in employer purchases of items like Apple AirPods and bluetooth speakers. Check out Swag in a Box to send custom employee gift boxes with your company’s branding.

2. Virtual group classes. Another trend in COVID-safe holiday experiences for employees is virtual group classes in subjects like cooking and crafting. Classes give employees a chance to bond outside the office, and a cooking class usually costs less per head than catering for your typical holiday office party. 

3. Gift exchange. Organize an employee gift exchange via snail mail. Choose a White Elephant theme, or have employees choose gifts they think others would really like. Make sure to set a budget, and use a gift exchange tracking form to stay organized. ​

Virtual Holiday Party Ideas
With so many employers going virtual for their office holiday parties this year during COVID-19, unique celebration ideas abound. Here are some of our favorites.

1. 
Choose a fun theme. Host a virtual ugly sweater contest, or go with a funny COVID-19  theme like, “2020 2021 is Our Year!” 

2. Bring the games. A virtual game party can be as simple as asking employees to download a game app (a popular one is Werewolf [https://play.google.com/store/apps/details?id=org.faudroids.werewolf&hl=en_US]) to participate, or hiring a company like Outback Team Building [https://try.outbackteambuilding.com/virtual-team-building-remote-teams-snacknation/] to create and host a customized game for your employees.

3. Hire entertainment. Let’s face it – we could all use a few laughs right about now. Bring a professional stand-up comedian to your virtual party using a service like Laughter on Call . Fundraising for The Family Center/La Familia

One of our many passions is supporting local non-profits in our community. The Family Center/La Familia is an agency that is a vital resource in our community. We are proud to be their trusted partner in 3 core areas: Events, Marketing and Development.

As part of our development focus, we launched their "GROW" campaign, which is an effort to grow their monthly, continuous donors. This is the best way for a non-profit to predict what resources they can offer based on projected donations.

With the help of a couple strong community partners, our campaign has received $30,000 in just the first month as a way to kick-start our lofty $100,000 goal.  Below is the public statement made about this initiative.


Over the course of three months, Fort Collins Foothills Rotary helped raise $93,000 to benefit six local
organizations who are directly serving families impacted by the pandemic: Food Bank, Rescue Mission,
Neighbor to Neighbor, La Familia/The Family Center, Teaching Tree, and Putnam Elementary. This was in
cooperation with each organization's fundraising efforts and partnering with Community Foundation of
Northern Colorado.

We are SO thankful for the heart Foothills Rotary Club of Fort Collins has for Early Childhood Education.
Their 10k donation was a great kick-off to our GROW campaign, and a 20k donation from the Community Foundation of Northern Colorado is such a blessing.
We are filled with gratitude!

"With the generous contribution made by the Foothills Rotary Club of Fort Collins and the Community Foundation of Northern Colorado we will make the required concrete leveling of the preschool playground and install a long lasting and secure fence around it. 8 Things to do Immediately After You Get Engaged

Congratulations, you’re engaged! Now what?
 
Before you dive head-first into wedding planning, here are some of My Big Day’s to-dos immediately after you get engaged.

  1. Share the news ­– When you’re ready, share your big news with family and friends! Start with personal phone calls to those closest to you and texts or emails for groups of distant friends and family, and save the Facebook post for after you’ve notified those deserving of a more personal message.
  2. Have your ring sized and insured – Make sure your new jewelry fits snugly so it won’t slip off; there are also companies that insure jewelry, usually for a yearly fee, in case of loss, theft, or damage.
  3. Do a photo shoot! – It can be a fun couples’ experience to have some engagement photos taken by a professional photographer. Some uses for these photos: framed on your mantle, a Facebook engagement announcement post, cards sent to friends and family telling them of your engagement, invitations for an engagement party, your wedding website, and wedding save-the-dates.
  4. Throw an engagement party – Make it a low-key dinner at home with your nearest and dearest, or go all-out and host a party at a venue (we can help with this!)

5. Discuss engagement length – Make sure you and your fiancé are on the same page about the length of your engagement and the timing of your wedding. For some people, a few months sounds just right. Others wouldn’t dream of an engagement lasting less than two years. You don’t have to pick a date yet, but make sure you and your future spouse’s priorities and timelines are in harmony.

6. Spend time together, alone – Celebrating your engagement can be great fun, but it can also be an overwhelming time that invites everyone’s opinions and advice – whether you ask for it or not. Take some time as a couple to have some fun dates and relax before throwing yourselves into wedding planning.  

7. Brainstorm themes, budget, and guest list – Before you really start planning, have some casual conversations about your future wedding. Will it be an elopement, or a blowout event with 500 guests? Do you want to spend your savings on the wedding of your dreams, or would you rather have a small event and save the money for a honeymoon or down payment?
