Why You Need a Small Business Communications Plan and How We Can Help

5/21/2022

Whether you’re just starting your small business or are well-established, a communications plan is crucial for your business success. Here are four reasons why you need a small business communications plan – and how My Big Day can help.
Picture
What is a communications plan?

A communications plan or strategy is a system through which businesses communicate news and marketing messaging within the company and externally. Internal communication may occur between colleagues, human resources staff, and company management. Information may be communicated externally to the public, news media, clients, suppliers, and other businesses.

The goal of a communications plan is to ensure your business’s messaging remains consistent, no matter who is receiving information and from which representative of your company. Communications plans are designed to be proactive, but are absolutely necessary in a crisis.

A communications plan may address not only what message should be broadcast, but through which channels (for example, that certain types of messaging should be communicated through email, over the phone, or via internal memos).
Picture
Why do I need a communications plan for my small business?

Company Image

A standardized, professional method of communication with the public lends your business credibility. Consistent communication builds external trust in your business, and trust is paramount to success. It is important to know which message(s) you want to convey to specific target audiences, which is where marketing comes into play.

Conflicting information released by different parties sporadically conveys an image of disorganization, which degrades trust. Having a unified communications strategy that everyone in the company is aware of prevents confused messaging.

Crisis Management

Some sort of reputation crisis, whether big or small, is inevitable during the life of your small business. It may be one disgruntled client or a newsworthy catastrophe that affects a wide audience’s perception. Either way, having a strategic communication plan in place will reduce uncertainty for you and present your company as a unified front under scrutiny.

Community Relations

Engaging with and supporting your community is essential to your business’s image. Your company’s public reputation is enhanced by giving back, including support of nonprofits, local initiatives, and other businesses.

Staying abreast of industry happenings helps you make better business decisions, and positive relationships with other businesses build trust and mutual respect.

Internal Business Objectives and Employee Morale

Having everyone in your company on the same page is essential to efficient operations. Everyone in your company should understand their roles and tasks and have the information necessary to carry them out.

Missing or inconsistent information frustrates employees and decreases performance. Trust, loyalty, and transparency are cultivated through a consistent internal communications plan between employees and management.

Picture
How do I create a small business communications plan?

Creating an effective small business communications plan requires knowledge of branding, measurable goals, target markets, media relations, communication channels, campaigns and events, and evaluation of measurable communication analytics.

Executing a strategic communications plan is a big job, and most small businesses don’t have a marketing or PR professional in-house.

Internal communications plans, particularly for small companies, can be managed by an owner, president, or manager. External communications are best managed by professionals trained in marketing or public relations.

At My Big Day, we offer a long list of small business services, including strategic communications planning, in conjunction with:
  • Marketing
  • Social Media Management
  • Business Coaching
  • Website Design
  • Content Management
  • Advertising
  • Consulting
  • Business Event Coordination
  • Logo Design
  • Media Buys
  • Public Relations
Strategic messaging is a crucial part of our marketing for small business clients. One of our first steps for any for-profit or nonprofit client is to create a PR document that can be shared internally and used by our team to maintain consistent messaging in all of your business communications.

Creativity Calls - MBD Answers!

4/26/2022

Picture
We love it when we get calls out of the blue from a company who needs help with creativity! It's what we do best! We met our new friends at DBC Irrigation in 2021 when everyone what facing similar pandemic problems with events. We created a HUGE backpack fundraiser for A Precious Child (501c3) that was an engaging team-building activity. And we helped to provide hundreds of students with backpacks for the 21-22 school year, while giving the DBC staff a unique team building activity!
DBC called again and asked us to create a unique Spring luncheon event that was FUN, CREATIVE, ENGAGING and would help they to raise money while employees have a great time.
We created a musically delightful and silly day at the Denver Museum of Art.
All smiles - all day --- and we were able to donate $20,000 to 3 local charities who are supporting the families affected by the Marshall Fire!
Colorado Pet Pantry + Sister Carmen Community Center + Future Arts Foundation of Colorado are the charities that received this incredible support!
Thank you to Dick Knapp Photography for capturing the fun, HOWE Eventful for the Music Trivia and the Denver Museum of Art for hosting us!

Christmas Parties Gone Wrong

12/21/2021

Christmas Parties Gone Wrong; All Work and No Play...Celebrating the Holidays with your Work Crew

By Carrie Stadtmueller, Content Conductor

There are many types of Christmas traditions out there, but none perhaps as steeped and as important as planning the PERFECT holiday office party! The perfect office party is just the right blend of structure and professionalism with just enough of a relaxed atmosphere where people can cut loose enough with some fun and slight indulgences. A time to celebrate a year of accomplishments!

We’ve helped many companies and businesses plan perfect celebrations with class and flair. And, it’s always great for our clients to know that they have an extra set of eyes and hands on site to help should things get out of hand - or slightly out of control.

How can things get out of control, you might ask? Well, anytime you mix good food, good drink, good music, and good fun – you run the risk of things getting out of control. Take these examples for instance:
Picture
“Office Christmas Party”
Starring Jennifer Aniston & Jason Bateman

If you’ve ever held a job, chances are, you’ve also had to deal with the annual work holiday party. As mentioned above, as event planners - we’ve planned a few! Let us just say - the characters in this movie probably could have used our help!

This movie follows an office holiday party that gets wildly out of hand as a branch manager uses the event to impress a potential client while trying to close a sale and save company jobs.

One major tip: Remember that this is still a business event.
While it is oky to relax and have fun when you’re at a workplace party, don’t loose sight of the fact that this event is still sponsored by your boss, and you should still remain professional.
Best of the Christmas Parties - The Office

The Office has great examples for what “not to do” on so many occasions. This compilation of their holiday parties is a gold mine! But, there is one rule that really sticks out in this…

Holiday Party Tip: Don’t drink too much!
If your employer is offering you a drink and you don’t mind - accept, but watch and limit  yourself!
If there is one place you cannot afford to lose your senses, it is at an event that is hosted by your boss and attended by your coworkers. You do not want to be the talk around the watercooler the next Monday!
Best advice - probably stick to a two drink maximum. This will allow you to enjoy yourself without having to pay for it later!
Picture
Picture

Die Hard
Starring Bruce Willis

While some people may argue whether or not this is truly a Christmas movie (IT IS!) - one thing is certain, it definitely holds some holiday office party lessons to follow.
Holiday Party Tip: Don’t bring uninvited guests.
Your party hosts have been planning for a certain amount of guests. Most caterers and venues require a base payment per guest. It is not appropriate to add to your hosts’ expenses by bringing extra guests to the event.

Holiday Tip: Do introduce yourself to others at the company.
If you work at a larger company, make it a goal to talk with a certain number of people with whom you haven’t spoken to or don’t know that well. Holiday parties can be great networking opportunities.

Holiday Tip: Do arrive and depart on time.
Arriving fashionably late is not appropriate in a corporate setting. You also do not want to be the last one to leave either. Make sure that you are following the time that is listed on the event invitation.

When you choose to celebrate appropriately, your office holiday party can be a great way to build strong team ties and camaraderie and celebrate a year of accomplishments or milestones. Follow these tips to have a great time!

Why You Should Book Your 2021 Holiday Party NOW

7/14/2021

Christmas in July? It may seem early, but now is the time to book your 2021 corporate or private holiday party with MBD Marketing & Events. As the world has opened up, demand for venues, hotel rooms, plane tickets, and event rentals have skyrocketed. We’re seeing venues booking events for 2022’s holiday season, so the time to reserve your ideal venue is NOW.
Picture
Really? Is the demand that great?

YES! We started having to get creative months ago when venues started booking up. We are already 50% booked for weddings in 2022! We have called on venues that aren't venues for events Summer, Fall and Winter, asking to create an event space for clients.

You can rely on us to MAKE IT HAPPEN.
Picture
Booking a venue is one of the first steps to planning any event, including holiday parties. Here is an example of a corporate holiday party planning timeline:

12 Weeks Out

  • Choose themes or colors

  • Choose a date and time – Research shows that lunch hour corporate holiday parties have the highest attendance. But evening parties are a great option, since they are longer and allow for more teambuilding and fun activities. Consider weekday evenings if cost is a concern; venues and entertainers often charge more for Friday and Saturday events.

  • Book venue and entertainment (DJs and bands book well in advance) – This is in a typical year. We recommend booking now for 2021.

  • Nail down a guest list

  • Book catering and bartending

  • Book photographer for a fun photo booth experience (optional)

8 Weeks Out

  • Send save-the-dates (optional) – Holidays are a time for travel. Sending save-the-dates will allow your guests to book tickets around your event, or let you know in advance that they can’t make it.

6 Weeks Out

  • Order any party supplies you’ll be purchasing online and/or that have a lead time – The pandemic supply chain is a doozy (just ask us!) Allow plenty of time to order products online, or for customized items like napkins that sport your business logo.

4 Weeks Out

  • Research and choose games or activities

  • Purchase indoor and outdoor decorations you can find locally

  • Recruit helpers if your event is going to be large (or book with MBD and consider us your holiday elves!)

  • Create a timeline for the event itself – Reserve windows of time for any structured activities like meals or games, and be sure to allow time for networking.

3 Weeks

  • If doing a Secret Santa, send out guidelines (price, size/type of gifts) to participants

  • Send out invitations

1 Week

  • Purchase last-minute supplies

  • Confirm contracts with vendors (caterer, rentals, entertainment, etc.)

  • Create a setup timeline for the day of the event – Venues allocate a certain amount of time for setup, which can vary greatly. Ensure you have access to your party space in time to set up before guests arrive. You may need a large team to set up a complex event within the venue-specified time frame (another great reason to hire us!)

3 Days

  • Share relevant information such as parking directions with guests

  • Finalize RSVPs and provide head counts to vendors

1-2 Days

  • Organize and collect decorations to take to venue

  • Finalize timeline for day-of setup

15 Ideas for Celebrating a Business Anniversary

4/16/2021

MBD Marketing & Events celebrates the big 1-5 in June – fifteen years of fun, dynamic, groundbreaking events powered by a team of outstanding women. We’re ready to start celebrating our achievements for the remainder of this year, so we’ve come up with a list of 15 (see what we did there?) ideas for celebrating a business milestone.

Keep your eyes on MBD’s social media and website for our upcoming 15th anniversary celebrations, and in the meantime, enjoy these ideas for celebrating work milestones with your employees, coworkers, bosses, and customers.
Picture
Update company branding
A big anniversary is a great time to implement updates to your company logo, website, tagline, and even name to better reflect your company’s current image and goals. If you haven’t noticed, MBD’s own website and logo have undergone some updates this year, and there’s more to come!

Create a timeline to show off business achievements
A timeline of business achievements is a great way to reflect on how far your business has come and remind longtime customers of (and introduce new ones to) your company’s history. Looking back on growth is a morale booster for employees and owners and shows current and potential clients that your company is constantly developing, expanding, and achieving goals.

Buy anniversary-branded company swag
Dress up your employees in some new company swag (think: anything from pins to t-shirts) with a special-edition logo. This could include additional logo elements, like anniversary numbers, new or additional colors, and/or decorative accents.

Offer anniversary-themed, short-term offers or discounts
For companies that offer buy-it-now products, a discount percentage or amount to match the anniversary is a fun offer to retain customers and attract new ones. For example, a mattress company might offer 20% off a new mattress to celebrate a 20-year anniversary. Businesses that provide services can still find fun ways to incorporate anniversary numbers into offers; a home cleaning service might offer the fifth cleaning free to celebrate a five-year anniversary.

Give out humorous and/or sincere employee awards
Smaller companies especially can create a fun, morale-building night out of hosting an employee awards ceremony. Awards can be humorous (i.e. “always wears the coolest glasses to work”) or serious, or both.

Picture
Take a commemorative photo
If your company doesn’t take a yearly team photo already, an anniversary is a great time to do so. For small companies, one photo can capture the entire team – larger corporations can divide employees and supervisors by department for a group photo. We especially love this commemorative customer appreciation “Thank You” photo collage, which is social-distancing friendly since it can be done remotely.
Picture
Involve customers in a company trivia game
Engage with customers in a social media-friendly game of company trivia. Start by compiling a list of fun company facts, then create a question for each fact. These can be multiple choice or open-ended. Offer a prize, experience, or discount for the trivia winner, and post one question per day on social media for a predetermined number of days or weeks. If you’re worried about missed posts or participation on social media, another option is to have people opt-in to play by email.

Design a commemorative logo
This one takes some design investment, but a commemorative logo can translate to a full marketing campaign and is useful for a variety of digital and print goods – employee t-shirts, pins, website decoration, social media profile images, email marketing, etc.

“A Look Back” infographic by the numbers
This fun infographic follows the “before and after” format with two columns: one for the year your business began, and one for the anniversary year. You can choose which items to compare: number of services provided, number of happy customers, number of employees, etc.

Picture
Have a “Do Good Day”
Giving back is a great way to highlight a company’s years of positive impact in a community and continued emphasis on community contribution. Volunteering doubles as a valuable team-building exercise, and has been shown to increase morale and self-esteem of participants. It’s important for companies to align with and support causes and demonstrate value to a community outside of the products and services they provide. MBD has made it a point for 15 years now to contribute something to our community with every event we create.

Display company awards and accolades
Take this milestone opportunity to remind current and potential customers of any awards or accolades your company has received over the years. These could be displayed in a front office, listed in a social media post or blog post, or (if they aren’t already) featured on your website. Share and celebrate your company’s achievements!

What was popular in your company’s first year?
This equal-parts-funny, equal-parts-nostalgic infographic highlights popular music, movies, slang, fashion items, you name it – all from the year your company was founded. You can ask employees to contribute their favorites from that year, or use a research tool to find the biggest pop culture phenomena by the numbers. Share with customers for an amusing, relatable experience.

Picture
Record a video message or interview with the company president
This could be directed toward employees, customers, or both, and can take a lighthearted or serious approach. Ideas include a thank-you video message, a business-centric interview, or a personal or humorous interview (with questions like: What is your favorite guilty pleasure TV show?) Feature your video in a blog post or social media post for followers to enjoy.

Host a celebratory anniversary event
In the age of Covid, this may mean a small get-together in someone’s backyard or a larger, virtual meeting or team-building activity or class online. Virtual cooking classes and virtual escape rooms are just two of the many options available for safe, morale-boosting work events. If you’re a NoCo local, consider an after-work party in the work parking lot or someone’s neighborhood with drinks from a local bar like On the Rocks.

Compile fun facts
Create an infographic or list of fun facts unique to the services or products your company provides. Fun facts can include business items – for example, gallons of lemonade served or number of a product sold – and/or personal items like “number of shows binge-watched by our employees during lockdown.”

Visit My Big Day’s anniversary celebration Pinterest board for even more ideas to celebrate a company anniversary or milestone. Celebration is our business, and we look forward to celebrating 15 years of memories and achievements with you!

Cause Partnerships and Company Values

2/18/2021

Picture
Cause partnerships – when businesses and nonprofits work together toward a mutually beneficial goal – are a company’s values put into action. MBD Marketing and Events values creativity and fun, trust, authenticity, visionary ideas, and partnerships, and we manifest each of those company values every time we are hired to collaborate with a nonprofit organization.

We love working with clients with similar values and goals for our community. We believe we have a social responsibility to the northern Colorado communities we live and work in. Below are just some of the businesses and nonprofits we have worked with and the services they provide to better the lives of our NoCo neighbors

Picture
The Family Center/La Familia

The Family Center/La Familia (TFC/LF) supports families in the Fort Collins area by providing affordable childcare, health education, adult education, and emergency assistance funding. TFC is proud to serve culturally diverse families and offers bilingual (English and Spanish) community based education, and we are proud to support The Family Center!

Picture
Teaching Tree Early Childhood Learning Center

Childcare in Colorado is notoriously unaffordable; infant care for just one child would take up 21% of a median family’s income in our state. The Teaching Tree Early Childhood Learning Center offers quality, affordable childcare and early education to culturally and socioeconomically diverse Colorado families, with an emphasis on child development before the crucial age of five.

Picture
SummitStone Health Partners

SummitStone Health Partners provides mental health support and addiction services in Larimer County, with locations in Fort Collins and Loveland. SummitStone is the largest behavioral health provider of Medicaid in Larimer County, providing care that would otherwise be unattainable for many in our community.

Picture
Realities for Children

Founded by a former child protection case manager for Larimer County, Realities for Children  provides for the unmet needs of children in northern Colorado who have been abused, neglected, or are at-risk. The organization provides emergency funding, youth activities, critical supplies distributions and collaboration with other child welfare agencies. Realities for Children exists to serve and empower children through immediate support, community education, and collaboration with other agencies.

Picture
Blue Federal Credit Union

Blue Federal Credit Union (Blue FCU) was founded in Cheyenne, WY, and has a large presence in northern Colorado. Blue FCU builds company culture with their Do Good program, encouraging employees to volunteer on their own time and on behalf of Blue FCU at official events.

MBD employees have spent time alongside Blue FCU employees building homes and working in thrift stores for Habitat for Humanity, and we recognize Blue FCU’s strong commitment to Realities for Children – this year, Blue FCU served as the presenting sponsor for the nonprofit’s largest annual fundraiser, Realities for Children NightLights.

Picture
Thompson Education Foundation

Thompson Education Foundation (TEF) is a non-profit organization that provides educational opportunities for Thompson School District students and educators. TEF removes barriers and supports experiences students need to engage in their academic environment.

My Big Day has enthusiastically partnered with TEF to bring unique events to the community and creative ways to fundraise during a global pandemic. We love being their Marketing & Events partner!

Picture
Partners

Partners has been a nonprofit serving our community for over 40 years. Their mission is to empower youth and community members to achieve their full potential through mentoring, prevention education, and strategic partnership.

Not only is MBD's owner, Christine, a former mentor with Partners, we are thrilled to be the planning team for their annual feature community event!

Meet ON THE ROCKS

1/4/2021

MBD Marketing & Events is proud to introduce you to our newest client, On The Rocks CO.
These guys have an AMAZING concept and beautiful product - a custom mobile bar perfect for any type of gathering!

Here is a bit about them:
Picture
We are Mike and Kate, and we are On The Rocks: the only mobile bar based in northern Colorado. Our renovated horse trailer, Pearl, is the third member of our team, and she has been through quite a journey.

The Beginning
We were married in 2013 at Gull Point State Park in Iowa at a beautiful lakefront lodge. Like many couples, we spent months searching for a beautiful, unique venue that would provide the flexibility we were looking for within our budget. It was a stressful experience that had us visiting dozens of golf courses, hotels, and event centers, ultimately finding that the more the venue charged, the more freedom we lost.

We created Pearl to provide a flexible, elegant, unique, and affordable all-in-one bartending solution for anyone planning a wedding or other special event. Open bars shouldn’t cost thousands of dollars for limited options. We believe in an affordable experience, tailored to be exactly what you want.

Pearl’s Journey
Pearl is a 1960s horse trailer who spent a decade sitting in an open field overlooking the foothills of northern Colorado. In her past life, she hauled a young girl’s horse around the state for 4-H and other competitions. We saw her on our way to work one day, and immediately started dreaming of the possibilities.

A full-body sandblast, metal-fill, custom weld work, and trim and body paint gave Pearl a new life. You can see Pearl’s renovation journey here [https://ontherocksco.com/gallery/]. With a self-serve four-tap “keezer” cooled draft tower on one side and a live edge bartender service window on the other, Pearl is ready to bring your event to the next level.

Why On the Rocks?
With Pearl, you can have an event anywhere – we’ll bring our luxury bar to you. Whether you’re a couple getting married, a company planning an employee retreat, or a concert organizer, customize your drinks, service, and even Pearl’s décor for a unique event experience your guests will be sure to remember.

Not sure where to start? Check out our packages https://ontherocksco.com/reservations/or contact us https://ontherocksco.com/contact/ for a custom quote.

Alternative Halloween 2020

11/1/2020

The MBD team has been extremely fortunate to have some amazing partners who have trusted us with their valued community events. Knowing that we are invested in our community and we still wanted to bring fun to local families, My Big Day worked with Thompson Education Foundation and The Centerra Marketplace to put on some amazing Halloween experiences!
Picture
Our socially safe Trick-or-Treat event hosted at The Ranch Events Complex in Loveland was a huge success! Over 30 vendor booths, over 40 volunteers, and over 3,000 guests came through on Saturday, October 31st. This event was FREE to the public.
Picture
The Halloween Hullabaloo hosted by McWhinney at the Centerra Marketplace provided 7 drive-in movies for FREE for families to enjoy! What a fantastic way to celebrate the holiday, dress up, and enjoy some old fashioned fun!
Our good friend, Jen West Photography, captured some photos of the fun over the Halloween weekend.
Thank you for supporting our small business while we support others. We love what we do!
