If it seems like we’re reminding you to plan your holiday party earlier than in previous years, you’re not wrong – but now is the time to book your 2022 corporate or private holiday party with MBD Marketing & Events. As the world opened up in 2021, demand for venues, hotel rooms, plane tickets, and event rentals skyrocketed. At the same time, economic difficulties and massive staff shortages have dominated the events industry. We’re already scouting venues for our holiday party clients so they can have the best of the best. If you want the best of the best too, the time to reserve your ideal venue is NOW. Check out our holiday party planning timeline and checklist if you need help getting started. Here are 10 reasons to book your holiday party early: Get Your First Choice Date Whether your date has special meaning, employees have already voted on their availability, or you anticipate a lull between projects that would be the perfect time for your coworkers to let loose, the sooner you book, the more likely you are to secure your ideal date. You’ll want to avoid conflict with other major holiday events that are already booked, which could hamper attendance to your event. The sooner you secure your venue, the sooner you can claim that date as your own. Guest Attendance Between family obligations, spouse work functions, and personal holiday traditions, your potential guests are pulled in many different directions during the holiday season. Boost attendance numbers by planning early, so invitees will plan around your event. Venue Choice It’s not news that venues book early, and the best ones book up first. If you’re set on a particular venue – or, in this crazy year, want to find one at all – start making phone calls now. If you book with an event planner, like MBD Marketing & Events, we’ll do that heavy lifting for you and use our network of clients and partners to give you the best chance of securing your dream event space. Vendor Availability Just like venues, vendors book well in advance, and the best are in highest demand. If you have a favorite caterer, are eager to reserve that up-and-coming deejay, or want better quality photos than you got last year, now is your chance to reserve these vendors. Staff Shortages Historic staff shortages in the event industry have affected almost every aspect of every event we’ve managed in 2022. By planning early, you can:
Venues, vendors, your event planner, and YOU will all appreciate the extra time to work through unexpected challenges that come with current conditions in the events industry. Avoid Holiday Rush Pricing As in any business, supply and demand affect consumer pricing. While venues may have holiday rates set well in advance, holiday travel and accommodation prices skyrocket as demand approaches its peak. Give yourself and your guests time to shop for the best deals by reserving your holiday party date now. Early Booking Discounts Not only does early booking mean you can avoid spending more than necessary, you may even be able to save. Some venues, vendors, and travel companies – though not all – offer discounts for early booking. Whether you’re able to secure these discounts or not, booking early gives your vendors the best chance at exceeding your expectations, which means you’re more likely to walk away satisfied. Time to Think Outside the Box An epic holiday party requires a lot of planning. Even the most creative pros have trouble throwing together a legendary even last-minute. Securing your date and venue early gives you more time to explore the best entertainment options, and even come up with some unique event activities of your own. Our team meets months ahead of our clients’ events for brainstorming sessions to get our creative juices flowing and create something extra special just for you. Build Excitement The longer your guests know an event is coming, the more excited they’ll be! Anticipation gives everyone something to look forward to, which is a great boost to your friends’ moods or your employees’ morale and productivity. Give your guests the holiday gift of something fun in the forecast. Less Stress Before you know it, you’ll find your own calendar filling up with holiday family gatherings, work commitments, and nights out with friends. Give yourself space to breathe by starting the planning process early. By the time you start receiving phone calls and invites in the mail, you can give yourself a pat on the back knowing your event is ready to go and your VIPs have already RSVP’d. When you book with MBD Marketing & Events, we do all the heavy lifting. Our holidays are already filling up with contracts, so book ASAP with our team of creative, experienced event planners for an unforgettable company holiday party. It's what we do best! We met our new friends at DBC Irrigation in 2021 when everyone what facing similar pandemic problems with events. DBC called again and asked us to create a unique Spring luncheon event that was FUN, CREATIVE, ENGAGING and would help they to raise money while employees have a great time. All smiles - all day --- and we were able to donate $20,000 to 3 local charities who are supporting the families affected by the Marshall Fire! Colorado Pet Pantry + Sister Carmen Community Center + Future Arts Foundation of Colorado are the charities that received this incredible support! Thank you to Dick Knapp Photography for capturing the fun, HOWE Eventful for the Music Trivia and the Denver Museum of Art for hosting us! Small Business. Big Impact.

The events industry has a marked impact on the environment. From long-distance travel, to the mountains of paper products and brochures that large scale events create - considering sustainability as part of the planning process should be added to any good event planners’ checklist. Sustainable events are more than a buzz word - they are the new norm in our industry. While it might seem daunting to audit our current organizing process, vendors, and venues, there are actually many benefits to making events more environmentally friendly. What is Event Sustainability? The definition of “event sustainability” is taking action towards preserving our natural environment; promoting a healthy, inclusive society; and supporting a thriving economy. There are four principles for event sustainability that support the sustainable development goals that were adopted and put forth in the United Nations Sustainable Development Goals. These principles were developed in order to help combat the impact events have on the environment. Principle 1: Event organizers and suppliers share responsibility for implementing and communicating sustainable practices to their stakeholders. Event organizers set the stage - literally. They hold the power to make sustainability a priority in the planning process. Principle 2: Basic environmental practices. These practices can include resource conservation, waste management, carbon emissions reduction and management, supply chain management, responsible purchasing, and biodiversity preservation In an industry that often creates tons of landfill waste during a weekend conference, it is important to consider best practices for future attendees. Principle 3: Basic social considerations. Universal human rights, impact on the community, fair labor practices, respect for host culture, safety, security, and health and well-being are all important considerations to think about when choosing an event location and should be part of the planning process. 88% of consumers want brands to help them be more environmentally friendly. Translation? These items are important to your event attendees, and therefore, they should be highly considered when making any event decision. Principle 4: Sustainable events support thriving economic practices. Thriving economic practices include collaboration and partnerships, local stakeholder participation that also includes small and medium enterprises, economic equality, transparency, and responsible governance. How to Build a Sustainable Event
The environmental impact of an in-person event is huge. Not only does one have to consider the amount of physical waste each attendee creates, the carbon footprint of travel to and from said event is staggering. What can an event planner or hosting company do to take responsibility and combat these negative effects? There are many options to consider. One is to ditch a full in-person event in favor of virtual or hybrid events. Virtual events have a drastically lower environmental impact than in-person events. Virtual or hybrid events eliminate the problematic aspects of air and land travel that large scale in-person events require. If a virtual or hybrid event is not possible, event planners and companies should look for sustainable venue options. A sustainable venue might be located in an area with reliable public transportation and nearby restaurants, lodging, and attractions. They might also utilize alternative energy resources like solar panels and lower efficiency systems of light and power. Catering choices are also important when planning an earth-friendly and sustainable event. Purchasing food and beverage supplies locally wherever possible helps to avoid long-distance supply chain travel. Food waste can be minimized by taking advantage of local growing seasons, and by avoiding disposable food and beverage service wares. Compostable materials for plates, cups, and cutlery should be considered when reusable supplies are not available. One more option to consider is to go paperless. Event technology has come a long way - huge advancements were made out of necessity during the pandemic. There is no longer an absolute need for anything printed - all event information can be shared digitally and updated in real-time. Not only does this practice help to save the environment, it can save money in the event budget as well. Printing paper materials is not green nor budget-friendly. Sustainability is a Responsibility Event sustainability doesn’t happen overnight. It takes careful consideration and planning. Event producers must be intentional, and create and define specific event sustainability goals. As mentioned before, this is not a fad, but a new norm in event planning. It is also something that you can use to your advantage. We live in a society that is increasingly drawn to environmentally friendly practices. Consumers and event attendees will be more likely to align themselves with companies that share their same values and ideals. Promoting your earth-friendly practices to your clients, shareholders, and attendees will only help drive your events’ success! MBD Marketing & Events had such a blast with this young event, in it's 2nd year of awesomeness! This fresh event brought the energy of the classic TV show Supermarket Sweep to Northern Colorado. Partners raffled off the chance to win three top prizes— $1000, $750, and $500 shopping spree at Lucky’s Market. Then on April 3rd, our winners shopped with just 4 minutes to grab whatever they could (with a few hidden prizes along the way). The NoCo Grocery Grab is a FUN event that gives our community a chance to have their own Supermarket Sweep. MBD is the proud planning partner and cheerleaders of a fun way to raise money for a great non-profit! Special thanks to all of the event sponsors, 99.9 The Point's BIG ROB, Dick Knapp Photography and the Partners board and staff! Small Business. Big Impact.
