My Big Day receives requests from friends, clients and complete strangers weekly to pass on our 'little known secret' venues. While we can't promise any of our favorite venues are secret, we can say that the places below do meet much of our commonly requested criteria. TIMELINE These are general guidelines to keep in mind concerning what needs to be done and when. You may be on a tighter deadline, or have luxurious amounts of time (lucky!). Generally, you should start planning three months in advance so your attendees can arrange their schedule, speakers can begin to prepare their presentations, and you can relax a bit. Every program is different, so adapt this timeline as needed. ORGANIZE MEETING NOTES AND MATERIALS AND REVIEW YOUR TIMELINES Once you’ve established the framework of your meeting and know its general requirements, you’re ready to contact hotels and discuss planning specifics. You’ll find it helpful to set up an organizer with sections for the various planning steps, so you can keep all the meeting information in one place. Some suggested section titles include: Schedules, Audiovisual equipment, Budget, Food and Beverage, Contacts, Recreation, Rooming list , Speakers, Ground transportation, Entertainment, Event communications, Spouse programs, Meeting room setups ,VIPs 3 TO 5 MONTHS OUT •Determine the objective of your meeting •Get your budget approved •Check calendar of events taking place near your desired venue to avoid conflicts •Book meeting site and necessary hotel rooms •Speak to Meetings Director or Sales Manager about menus and meeting room needs •Set up master account for meeting charges and determine who can sign for charges •Invite speakers and provide scope of desired presentation •Invite attendees •Make travel arrangements •Decide on any marketing needs; begin creative development AT LEAST ONE MONTH BEFORE EVENT •Confirm menus, room setups and supplies in writing with your Meetings Director •Reach out to speakers/vendors to check on their presentations (they’ll likely need urging) •Inform hotel of guest arrival time so front desk can be properly staffed •Order gifts and amenities •Order signs and printed materials •Introduce any marketing materials into market •Mail agenda and any brochures to attendees; suggest a dress code and arrival times Cont.... ---------------------------------------- For a full list of to do's, download our PDF below
My Big Day would be crazy not to post about Valentine's Day, since we LOVE love and parties! And we'd also be crazy not to promote the FUN packages we have put together for Valentine's Day. Loveland is not only home of the Valentine's re-mailing program, and streets lined with giant wooden hearts with loving messages... we are the home of Valentine's Day! My Big Day Events supports everything wedding and valentine related! One of our favorite annual traditions is the FREE wedding/vow renewal on the top of Loveland Mountain! Loveland Ski Area’s 23nd Annual Mountaintop Matrimony & Ski Free on Valentine’s Day, Friday, February 14 is a “mass wedding” ceremony for couples getting married or renewing their vows. Couples and their guests must be able to ride a chairlift and ski or snowboard back to the base afterwards. The lift ride takes approximately 12 minutes, and the ceremony takes about 30 minutes. After the ceremony, everyone returns to the Loveland Basin day lodge for the Honeymooner’s Apres Party with music, wedding cake, spirits and a best dressed contest (“ski wedding” attire is encouraged). Participating couples must pre-register online by February 12 in order to receive the 2-for-1 lift ticket special. For more information, call 303-571-5580 Ext. 141. Couples getting married are required to bring a Clear Creek County marriage license; the county office is at 405 Argentine St., Georgetown, 303-679-2339. Those renewing their vows do not need a license. All participating couples must sign in on the morning of Feb. 14th and are asked to be at the Ptarmigan Roost Cabin by 11:30 a.m.

From the gown, to the food, to the venue, to the photography, to the flowers... every detail costs money. If you aren't properly prepared, you can be in for quite a shock. Many websites offer budgeting spreadsheets to help couples plan for their BIG DAY. Unfortunately most of them don't add line items for all the miscellaneous things that can pop up, or aren't obvious on your contracts. My Big Day has come up with a list of items that you may want to consider budgeting for when planning your Big Day. Not all items are necessary, but they should certainly all be considered. Do you know of someone who is planning to propose soon? Whole Foods in Colorado wants to help them pop the question! Our friends at Whole Foods Market want their story. Whole Foods intends to make someone’s engagement one they will never forget --- and their wedding day a bit sweeter. As with most contests, stories with emotional impact or adversity overcome are the most compelling. The lucky winner will be contacted immediately. Whole Foods will coordinate with them in secret to show up at the proposal site on February 14 with a professional photographer, musician, a huge bouquet of roses and a giant goodie basket with treats from Justin’s Corvus Coffee, Bhakti Chai, Oogave, Love Grown Foods, LoveBeets and Earth Balance and more.
