Questions to Ask Your Potential Caterer

Hiring a great caterer can help eliminate so much unnecessary event stress. The best team will help with some of the small, yet very important details. 

Often when considering a variety of caterers, people base their decision on one of two things: a sample tasting, or the price. Of course, there is so much more to consider outside of those two things.


Ensure you get the best of the best by asking your potential caterer the following questions in your interview process.

Questions:

1. What is your approach to food recommendations and preparation? 

2. How many events have you catered?

3. What is the typical size of events you cater?

4. How many events will you be working on the day of our event?

5. Have you ever done an event at this particular location?

6. If having a buffet, do you decorate the buffet stations? If so, will I have input in the decorations?

7. How many wait staff will you bring?

8. Do you carry liquor liability insurance? If so, how much liquor liability do you carry?

9. Do you provide linens, napkins, china, flatware or glassware? If so, can I see a sample? What colors of linens are available? Is this an additional fee?

10. Will I be charged for broken items?

11. What will the wait staff and bartenders wear?

12. How much time do you need for set-up and tear down? Will these times be included in my quote?

13. Will you light the candles on my guest tables?

14. Do you offer any additional services?

15. Will the tax and service fees (gratuity) be included in my quote?

16. How much is the deposit to hold our date?

17. When is the balance due?

18. What is your cancellation policy?

My Big Day realizes that when planning an event, you often have many venues to choose from!  When interviewing a venue, we can often forget to ask enough questions, or the same questions from each venue.

Below you'll find a list of all the questions you'll need when interviewing your potential event space.

Should you need a customized spreadsheet to help you with all the items that are a priority to YOU, just CONTACT US!

•  Do you have our date available? If not, what dates are available?
•  Do you give discounts for ‘off days’ (Thursdays, Sundays etc.)
•  What is the fee for renting the space?
•  Is the venue ours exclusively for the entire day/night?
•  Are there any restrictions on use of the space?
•  How many people can the space hold?  Is that number seated or standing?
•  How many hours does the rental rate include?  How much is an additional hour?
•  What does the rental fee include?  (catering, tables, chairs, linens, lighting, china, silverware, centerpieces, etc. )
•  What is excluded from the rental fee?
•  How many parking spots are available for guests?
•  Is there storage available for decorations, etc?
•  Can I use any vendor or do you have list of preferred vendors?
•  Can we provide our own alcohol?  If so, what permits are required?
•  Do you do all set up and tear down of items you provide? Do you help with set-up for our personal decorations?
•  When can I begin set up on the day of the event?
•  Do you have staff available to help with event coordination?
•  If we have an outdoor element do you provide a back-up location if the weather is bad?
•  Are there restrictions on photography or videography?
•  Are there any noise restrictions?
•  Do I need to get any permits or insurance for the event?
•  Can I see a sample of items you provide? This is often tables, chairs, linens and china.
•  Can I get a copy of the layout of the space?
•  How much is the deposit?  When is it due?
•  When is the final balance due?
•  What forms of payment do you take?
•  What is your cancellation policy?

10 Questions To Ask When Interviewing Vendors

Whether you are planning a corporate event, a baby shower, a bridal shower, a birthday party, or a wedding... you have a number of vendors out there to choose from. How to you pick?

While referrals are great, how to you widen your options, and easily narrow down the vendors who you'll trust to pull your event off with grace?

Easy...
You do your research
You ask them carefully prepared questions
You go with your gut!

Here Are The Top 10 Things You Should Consider When Interviewing Vendors:

1. Will the vendor commit to your budget and not push you in the direction of things you simply can't afford?

2. Will the vendor pay attention to the smallest of details? Are they prompt and articulate? (You can gage these things by their promptness in returning phone calls and emails, showing up for your meetings early or on time, and by giving you more information that you even asked for)

3. Can the vendor give you thoughtful and original ideas, showing that they are not only invested in their industry, but experienced?

4. Is the vendor familiar with multiple florists, photographers, caterers, planners, bands, and DJs in your price range? Can he/she explain their strongpoints to you briefly?

5. Can the vendor score you some discounts with any  other vendors, help you negotiate pricing, or in the least, speak of general pricing for other vendors in the industry to help you with your negotiations?

6. Is the vendor legit? Do they have a website, a Facebook page, a Pinterest page, etc? Can you find reviews about their company online? Can they give you a list of referrals?

7. Can the vendor counsel you on industry etiquette matters and speak to hot trends on the horizon?

8. For the day of the event, can the vendor commit to working with only YOU (not juggling multiple clients)?

9. Will the vendor act as your advocate, conveying your visions and desires to others when you don't feel up to the task?

10. PASSION. Does the vendor have it?  If you ask them about their favorite part of their job, do their eyes light up?  If you ask them to tell you about why they got into the industry, do they have a compelling story they love to tell?  If they can’t tell you why they love their job, will they put passion into your Big Day? Probably not.

Note: A professional should have plenty of questions for YOU too.  They should easily be able to determine your wishes, needs, level of maintenance, budget, scope of imagination, and more!

Love is around every corner in Colorado, with so many gorgeous views, outstanding adventures and intimate experiences to choose from. Use our ideas to inspire a little Valentine's Day romance (or any day!) on your next Colorado excursion. Here are some top places to sneak a smooch.

1. On the Royal Gorge Bridge The Royal Gorge Bridge near Cañon City is America’s highest suspension bridge hanging 1,250 feet above the raging Arkansas River. Cling to one another as you walk (or drive) across the bridge to enjoy the stunning views and sneak a kiss right in the middle.

2. Soaking in a Hot Spring What could be more romantic than soaking in hot springs while a gentle snow falls around you? Choose a place that offers private tubs for optimum romance. The historic Wiesbaden Hot Springs near Ouray, the Dunton Hot Springs in Dolores and The Springs Resort and Spa near Pagosa Springs make perfect secluded getaways.

3. In Loveland (of course) Located along the north Front Range, near Fort Collins, Loveland (the town, not the ski hill) is known as Colorado’s “Sweetheart City.” Aside from its popular Valentine’s Day love stamp program, the city is known its thriving local art scene.

4. On the “One Mile” Step in Front of the Colorado State Capitol While sightseeing in Denver, be sure to note your elevation: one of the steps in front of the Colorado State Capitol building is marked with a plaque signifying that it is exactly 5,280 feet, or one mile, above sea level. A perfect opportunity to snag a memorable smooch in the Mile High City —“mile high club” jokes totally optional.

5. On a Scenic and Historic Train Colorado is known for its historic railroads, and trains are known for romance. Book a wine dinner trip on the Royal Gorge Railroad's in one of their scenic Vista Dome cars. Or, make a day trip of the Cumbres and Toltec railroad in southern Colorado, which winds its way through landscapes unreachable by any other motorized transport.

6. At a B&B No matter where you want to go in Colorado, you’re sure to find a bed and breakfast nearby. Many bed and breakfasts offer romantic amenities like in-room hot tubs or fireplaces to complete your stay. Try the Cliff House at Pikes Peak, outside Colorado Springs, which was named one of Travel + Leisure’s Top 100 Hotels in the World.

7. Over a Glass of Colorado Wine Book a private wine tasting at one of Colorado’s wineries for an educational and delicious event you’ll both remember. Although the majority of Colorado’s vineyards are located on the Western Slope in and around Grand Junction and Palisade, wineries can be found all over the state, including in Denver, Boulder and Cañon City.

8. By the Fire One of the hottest (pardon the pun) trends in Colorado hotels is an outdoor fire pit to cozy up to when the weather is frosty. From big hotels, like the Ritz-Carlton, Bachelor Gulch in Beaver Creek to small bed and breakfasts, rooms with a roaring fire offer choice cuddling — don’t forget the s’mores.

9. In Formal Wear For many ladies and gents, there’s just something about formal attire that gets the heartstrings stirring. Book a night out in Denver with Opera Colorado, the Colorado Symphony or the Colorado Ballet for an excuse to dust off the dinner jackets and ball gowns.

10. In the Dark Cave of the Winds, outside Colorado Springs, offers lantern tours that replicate the flickering flames early explorers used to light their way. Just make sure your sweetie isn’t too afraid of the dark!

11. In a One-Horse Open Sleigh Where there’s snow, you’ll find sleigh rides in Colorado. Search for operators near you and opt for all the extras, like warm beverages for the trip.

12. On Top of the World Whether you ski or not, Colorado’s ski resorts can be some of the most romantic places in the world: Imagine a winter wonderland viewed from a peak that seems to touch the sky. Ride the lifts to the highest peaks, or just snuggle by the fire in the lodge.

13. On a Scenic Overlook Take your better half sightseeing in a whole different way by following one of Colorado’s scenic byway driving tours. Any of these roads will provide you with ample photo opportunities, and every time you pull over to admire the view, you can take a moment to admire each other, too.

14. Over a Fine Meal Colorado has no shortage of amazing restaurants to inspire warm feelings. You might opt for the latest offering from a local celebrity chef, such as Alex Seidel, of Fruition in Denver, who was voted one of Food and Wine’s best new chefs in 2010; or Kelly Liken, whose eponymous restaurant is in Vail. My Big Day Event & Wedding Tipping Tips

Quite often we get the question, how much should I tip my vendors?  Honestly, tipping suggestions vary from person to person, and expert to expert.
Based on our research, and years of event experience, here is what we recommend.  Be sure to download our handy tipping sheet for future reference!

My Big Day Guide to:
Tipping Vendors and Weddings and Events

Tips are never expected, but always appreciated.  Tips are meant solely as an expression of appreciation for especially good service.   Unless the service provided was less than satisfactory, it is customary to show your gratitude by tipping many of the people involved in making your event a success.

My Big Day Tipping Tips:
 Check Your Contracts & Agreements
Many gratuities are built into quotes for major items, such as, catering.  This will appear as a ‘Service Fee,’ a ‘Service Charge,’ or any amount that is approximately 15 - 20% of the total contract. Read  your contract carefully to avoid unnecessarily double-tipping.

Don’t Tip the Venue /Owners

If your photographer owns the studio, there’s no need to tip them. The same goes for bands not booked through an agency, the owner of a wedding venue, and the beauty-shop owner who does your hair.

Reward Extraordinary Service
Beyond the customary tips, when someone goes out of their way for you―the DJ digs up that old recording that will make your Grammy misty-eyed… the florist finds you that rare flower not in season… the event planner goes above and beyond  adding little touches not contracted, etc… consider thanking them with a gift certificate, a bottle of wine, or another thoughtful token.

Put Someone in Charge

Assign someone you can rely on… one of the fathers, the best man, your super-organized maid of honor - to hand out envelopes with the non-contract tips in cash, either at the time of service (hair and makeup people), at the end of the wedding (which allows you to adjust the size of the tips to reflect the service), or at the beginning.

Simple Tip Chart:
Bartenders:  10 percent of the total liquor bill  (to be split among them)
Band or DJ: $20 - $25 per musician; $50 - $150 for DJs
Photographer/videographer: If you’re paying a flat fee with no overtime, $100
Catering manager:  $200+ or a personal gift
Makeup artist: 15 to 20 percent
Event/Wedding planner: 15 – 20 percent of fee
Hairstylist: 15 to 20 percent
Waiters: $20 and up each (distributed by the catering manager or maitre d’)
Wedding Musicians: 15 percent of fee for ceremony musicians; $22 to $25 per musician for reception
Delivery Staff:  Cake, Flowers, Rentals, Etc.  $5 to $10 per person
Bathroom attendants:  $1 to $2 per guest
Chef:  $100+
Coat check attendants:  $1 to $2 per guest
Hotel chambermaids: $2 to $5 per room;  $10 to $15 if you used a suite as your dressing room
Limo or bus drivers: 15 percent
Valet or parking attendants: $1 to $2 per car; 15 percent for valet parking
Maitre d’hotel or headwaiter: 1 to 3 percent of food and beverage fees

Event Space In Loveland, CO

Quite regularly we get asked about private event space rentals up and down the front range. I try to write about as many venues as possible, and post them to the My Big Day Pinterest page.
Yesterday I just learned of a perfect space in Downtown Loveland, CO that seats about 30... perfect for meetings, parties, clubs, small receptions, baby showers, birthdays, etc!  And the best part, they only charge $25 an hour to rent the space!
Oh wait, the better part is that it's INSIDE of a cupcake shop!

B Sweet Cupcakes is a gem in Downtown Loveland. I only wish I had known of this space earlier!

The space is a private room, tables, chairs, private bathroom access, etc. It's quiet and smells like cupcakes. Need I say more?

LONGMONT: Firehouse Art Center
The Old Firehouse Art Center is a historic landmark in downtown Longmont. Renovated in 1999, the Firehouse Art Center is now a permanent art gallery and facility for art education and classes. The main gallery can hold up to 100 people standing, 80 people seated auditorium style and 40 people seated at tables. The back room/classroom features a kitchen with two sinks, microwave and small fridge. It can hold 40 people standing and 16 seated at tables.
